All proposed student activities must be submitted via the official SAC portal for approval at least 15 working days prior to the event date. No event promotion or execution may begin without written consent from the Dean of Student Affairs.
All councils must maintain a transparent and detailed record of expenditures. Budgets must be submitted for approval pre-event, and a comprehensive financial report must be filed within 7 days post-event.
All participants and organizers must adhere to the RGIPT code of conduct. Any form of harassment, discrimination, or unsafe behavior is strictly prohibited and will result in immediate disciplinary action.
The official RGIPT and SAC logos may only be used on promotional materials after the design has been approved by the faculty convenor. Unauthorized use of institute branding is not permitted.
Organizers are responsible for the booking, setup, and subsequent cleaning of any venue used. Any damage to SAC resources or institute property will be billed to the organizing council.
A mandatory post-event report, including attendance figures, outcomes, and feedback, must be submitted to the SAC office within 10 days of the event's conclusion. This is crucial for future planning.
